Job purpose


We are currently entering an exciting phase of growth and succession, which has in turn led to the expansion of the Operations department. As part of this growth, we are looking for a Financial Planning Administrator to join the team in Nottingham.

 

As a Financial Planning Administrator, you will provide efficient and effective administration that promptly enacts and supports the advice given to and authorised by our clients. You will be passionate about client care and dedicated to excellence, with an appetite for learning and personal growth and a willingness to support and champion others.


Key responsibilities & accountabilities *


  • A variety of administration tasks including dealing instructions, new business applications and obtaining valuations.

  • Assist in the production of Wealth Plan Update reports.

  • Support the provision of an efficient, friendly and professional point of contact for clients and enquiries by phone, email and in person.

  • Welcome clients and visitors to the office.

  • Liaising with Advisers and Technicians on client portfolios.

  • Monitor and chase progress on applications and other transactions with platforms, product providers, and wrap providers to process client instructions.

  • Raise and identify potential issues with the relevant client service team.

  • Assist in the production of ‘Mindmaps’ for Advisers as a result of discovery/fact find meetings.

  • Regular upkeep of systems, ensuring files are maintained, organised, in line with record keeping requirements and compliant with relevant standards.

  • Data entry and data quality management on our CRM system.

  • Provide ad-hoc data, analysis, and reports as required.

  • Comply with the Financial Services and Markets Act 2000, the FCA’s Conduct rules/FCA Statements of Principle & Code of Practice and the relevant rules from the FCA at all times.

  • Maintain and update relevant processes, procedures, and policies.

  • Maintain up to date knowledge of necessary applications and back-office systems to deliver work, including XPLAN. 

  • Adhere to appropriate ethical standards at all times.

Person specification


Qualifications

Diploma in Financial Planning or working towards (desirable).

 

Experience

  • Experience as a Financial Services Administrator or with significant technical aptitude for the position.

  • Experience working in a client-facing role. 

  • Competent user of CRM systems, MS Office applications and ideally Mindmap application.

  • Passionate about providing an excellent client service.

  • Excellent interpersonal and client care skills.
