Client Services Administrator

Your Direct Reports:



£23,000 to £30,000 (Dependent on experience and qualifications)

The Role

Ensure that every client’s file is up to date, to aid the efficient processing of business, support the financial planners to deliver recommendations and to chase providers to make sure that our clients are looked after.

Your duties will include:

  • Provide administrative support to the Adviser/Planners

  • Organise client information and documentation

  • Correspond and be in general liaison with clients and policy providers

  • Submit new business on behalf of the client

  • Arrange appointments between clients and advisors

  • Record your client communications (whether that communication is written, oral or electronic) including client related communications with third parties.

  • Collect and collate information and data about (and from) the client in accordance with the principles of ‘know your client’ and company policy and ensure all the required compliance documentation is present and correct.

  • Delivery of general office administration: Processing incoming and outgoing business post, scanning and filing.

  • Liaise with product providers and other third parties to acquire additional information that may be required

  • Obtain information, quotes, illustrations and product details, and provide comparisons for analysis.

  • Understand and aid the paraplanners in the preparation of suitability letters and reports for approval by the Financial Planner in line with company policy and prepare associated accompanying documentation as required. This will include the pre-completion of documentation ready for clients to check and sign.

  • You will commit to continuous personal development, keeping knowledge up to date and retaining supporting records for review

  • Managing a legally compliant back office system by inputting and checking key data

  • Must be proficient in MS Office (Word, Excel, Powerpoint)

  • Confident with technology

  • Ability to manage own workload

  • Willingness to undertake other duties to support the team and business from time to time

  • Strong telephone communication skills

  • Eager to learn and develop

  • Driven to achieve team and personal goals

  • Commitment to progress personally within Financial Services

  • Financial services experience preferable

  • R01 + other CII exams preferable
