Job Description

We help our clients, and their families make the most of their hard-earned wealth and give them peace of mind for financial security in their future. The purpose of the role is to provide administrative support in all aspects of day-to-day running of the business.

Duties and responsibilities

Your duties and responsibilities will include but not be limited to:

Client Administration

  • Create and maintain accurate client records on back office systems, platforms and any other IT systems e.g. cashflow & risk profiler

  • Prepare client documentation and correspondence pre and post meetings as per business processes

  • Check accuracy and completeness of new business documentation

  • Ensure that all business applications are processed accurately and efficiently, in a compliant manner, to the firm’s standards

  • Ensure all supporting documentation is maintained as per company procedures

  • Record and reconcile fees

  • Ensure all work is followed up promptly in line with company standards

  • Liaise with product providers to ensure timely and accurate responses to clients (progress chasing)

  • Send Letters of Authority and gather accurate information

  • Obtain illustrations and application forms

  • Production of portfolio valuations

  • Ensure fund switches / rebalances / top ups / withdrawals are carried out accurately and within company timescales

  • Provide a friendly and professional point of contact for clients and enquiries

  • Ensure action points resulting from client meetings get diarised and dealt with


  • Prepare client review documentation as per the Annual Review Process

  • Support FPs in delivery of reviews, if needed

  • Assist in implementation of agreed action points

General administration

  • Answer, screen and forward incoming calls

  • Ensure back-office systems are kept up-to-date

  • Open, scan, log and allocate incoming post

  • General correspondence

  • Other duties as directed by management

What does the successful candidate look like?

  • You will be highly organised, methodical, and disciplined.

  • You will have at least 3 years experience as an Administrator working within a Financial Planning Firm.

  • You will have the ability to explain financial concepts to others in writing and verbally.

  • Confident with numbers with a full attention to detail.

  • You will be looking to join a small, close-knit team where you plan to build your career and grow with us.


  • The right to work in the UK

  • Competent with Microsoft Office programmes

  • Fluent in both written and spoken English

  • Commenced study towards Diploma Level Financial Planning qualifications

Salary & Benefits

The successful candidate will receive a basic salary of £20,000 – £26,000 depending on experience. Working Hours 4/5 hours per day Monday to Friday.

Other benefits include:

  • 23 days Holiday Entitlement plus bank holidays and public holidays.

  • Professional Development – You will have one day per quarter to dedicate to your own professional development.

  • At the companies discretion they will cover the costs of material and examinations to attain the Diploma in Regulated Financial Planning with the CII/Personal Financial Society.
